How Matrix42 Transformed HR with HRSM and AI

Most HR organizations are still structured around responding — answering questions, managing requests, keeping operations running. It works, but it comes at a cost: time spent on repetitive queries is time not spent on the work that truly moves the business forward.

At Matrix42, we made a conscious decision to change that.

For us, HR Service Management was not a technology rollout. It was a step in redefining the role of People & Culture — shifting from reactive support to a more data-driven, scalable, and experience-led function.

Two months after introducing Matrix42 Professional HRSM across the company, direct HR queries dropped by 40%. More importantly, we gained back five working days per month as a team — time that is now invested where it matters most: supporting our people, enabling our leaders, and shaping how work evolves.

Rethinking the Role of HR

Before the transformation, our setup was not broken — but it was fragmented.

We had the right tools and solid processes in place. However, maintaining alignment across systems required significant manual effort and a large part of the team’s capacity was tied up in operational work.

This is a pattern we see across many organizations: HR becomes a high-volume service function instead of a strategic enabler.

The question for us was simple: how do we scale HR without scaling headcount — while improving the employee experience at the same time? The question for us was simple: How do we scale HR without scaling headcount — while improving the employee experience at the same time?

One Platform, One Experience

The answer was to consolidate our HR services onto one platform — the same platform we build for our customers.

With Matrix42 Professional HRSM, we created a single, unified entry point for all HR-related topics. Employees no longer need to navigate systems or understand internal structures. They simply ask and get what they need.

Policies, guidelines, and knowledge are now accessible in one centralized place, making information easier to find and maintain. Processes have become more standardized and transparent, while updates can be managed directly within HR without external dependencies.

This is a fundamental shift from system-centric HR to experience-centric HR.

From Queries to Self-Service and AI Support

A key element of the transformation is the integration of AI.

Our Neo chatbot enables employees to resolve routine questions instantly, based on existing knowledge. At the same time, it supports the HR team with suggested responses and consistent information when human interaction is needed.

The impact is tangible:

  • Four out of ten requests are now resolved without HR involvement
  • Response quality is more consistent
  • Employees get answers when they need them — not when HR has capacity
This is where HRSM starts to fundamentally change the operating model:
from dependency to enablement.

Building Scalable HR Processes

Beyond self-service, we are now embedding end-to-end workflows across key people processes — from recruitment to onboarding and beyond.

The focus is not just on automation, but on quality at the source. Managers now submit complete and structured requests, approval flows are more streamlined, and access and compliance are built directly into the process.

This reduces friction, shortens cycle times, and creates clarity for everyone involved.

Data as a Management Tool

For the first time, we have real transparency into how HR services are used.

With integrated dashboards, we can see what employees are asking, where bottlenecks occur, and how quickly issues are resolved.

This allows us to move from reactive problem-solving to proactive improvement.
Communication, processes, and content can be continuously optimized based on real usage patterns.

This is a critical step toward a more data-driven People & Culture function.

What Really Changed

The 40% reduction in direct queries and regained capacity are important — but they are not the end goal.

The real shift is in how HR works and where it creates value.

We are moving from answering questions to designing better systems, from manual handling to scalable solutions, and from operational focus to strategic impact.

And equally important: the employee experience has simplified significantly. There is now one place to go, one logic to follow, and faster access to what people need.

The Bigger Picture: HR in the Age of AI

HRSM is only the starting point.

As AI evolves from assistants to more autonomous agents, the role of HR will continue to change. Routine work will be further reduced — not eliminated, but increasingly handled by systems.

This does not make HR less important. It makes it more focused.

The real opportunity is to reinvest capacity into what only humans can do well  judgment, leadership, culture, and meaningful human interaction.

At Matrix42, we see a unified, well-governed platform as the foundation for this future: secure, scalable, and adaptable as capabilities grow.

Leading the Shift

For me, this transformation is not about efficiency alone.  It’s about intentionally redefining how HR creates value.

As we reduce transactional work, we create more space to work closely with leaders, strengthen performance and culture, and actively shape the future of work.

That is where HR’s impact will be measured going forward — not by volume handled, but by outcomes enabled.

And if you are already using Matrix42 for IT, the foundation is already there.

Extending HR onto the same platform is not about adding complexity. It is about applying a proven service model to one of the most people-critical functions in the organization.
